Employee Termination Policy - Employee Lifecycle Management
It is the policy of Company that a working relationship may be terminated at the will of the workforce member or Company , with or without cause, and with or without advanced notice.
Termination or separation of employment will occur when the workforce member is no longer classified in an active status. Termination may be voluntary (resignation) or involuntary (discharge or lay-off) depending upon the circumstances.
The Company Termination Checklist is to be used and completed during the termination process of all employees regardless of the reason for termination.
Upon termination, workforce members must return all Company -owned property including, but not limited to:
Keys/keycards.
Documentation that identifies an individual as a Company workforce member (ID, badge, etc.).
Company -owned mobile devices including phones, tablets, or laptop computers.
Removable media devices (external hard drives, USB drives, etc).
Access to IT systems shall be removed no later than the date of termination.
Voluntary Termination (Resignation)
Workforce member notifies supervisor of resignation.
A supervisor will notify the VP of Human Resources who will notify the Security Officer or designee and request termination of all access to Company systems and facilities no later than the date of termination, including remote access to Company network and systems.
Workforce members will attend an exit interview where keys, proximity badges, and Company Company -issued mobile devices will be collected.
Returned ID badges will be inventoried and shredded and electronic equipment returned to IT for inventory updates.
The Termination Checklist will be completed and signed off by appropriate Managers and/or Supervisors upon completion of their assigned termination tasks.
As part of the termination checklist, we will make sure the user is removed from all the tools that he has access:
Involuntary Termination (Discharge/Lay off):
Supervisor compiles all documentation to support termination and forwards the documentation to the VP of Human Resources prior to action being taken.
VP of Human Resources or under special circumstances the workforce member’s Supervisor will notify the Security Officer or designee to terminate all access to Company network, systems, and facilities no later than the date of and prior to the time of the termination, including remote access to Company computing systems.
The terminated workforce member will be permanently separated from his or her workstation at the time of the exit meeting. Keys, proximity badges, and Company -owned devices will be collected.
Returned ID badges will be inventoried and shredded and electronic equipment returned to IT for inventory updates.
Personal possessions will be inventoried and packed for pickup at the main entrance at the conclusion of the exit interview.
The Termination Checklist will be completed and signed off by appropriate Managers and/or Supervisors upon completion of their assigned termination tasks.
